WBG is seeking to hire a well-organized, proactive and motivated individual to provide Human Resources (HR) support for units in Jakarta Country Office. The incumbent is expected to fully demonstrate generalist capabilities as well as hold specialized expertise within the staff lifecycle (from on-boarding through ending employment). It requires the highest level of client orientation, people management, attention to detail and strong organizational, analytical and problem-solving skills.

The HR Assistant is mainly responsible to provide efficient and high-quality support for the HR team in delivering a full range of HR related products/services to client managers and staff in the Indonesia Country Office. This position is expected to work with relative independence in the interpretation of data.

Duties and Accountabilities

The scope of the position is varied and demanding, encompassing a combination of some traditional HR client support functions and direct contributions to the team's objectives. The job requires an ability to multitask working with multiple client groups, solid analytical skills, technological aptitude, a high degree of judgment, initiative and flexibility, problem-solving capability, patience, empathy, and teamwork.

The candidate will be expected to provide HR Assistant’s support including but not limited to the following key areas of responsibilities:

•Provides assistance in staffing, compensation and benefits, performance/talent management, career development, and separation management. Specifically, responsibilities will involve support clients and CMU in the overall recruitment process in coordination with HR Recruitment Services team (from job vacancy posting, candidate screening, shortlisting, interview, preparing salary recommendation to staff onboarding), exit processes in coordination with HRBP, HR systems, performance evaluation, compensation reviews, and other HR activities.

•Provides local consultant management support through timely policy and recruitment process guidance

•In coordination with the Global Mobility team, provides on-the-ground Global Mobility assistance for all staff relocating in and out of the duty station.

•Possesses up-to-date knowledge and understanding of HR policies and available resources to support implementation of HR processes. Provides guidance to staff on HR related topics or re-direct staff to appropriate resources for resolution of issues/questions.

•Independently identifies and resolves diverse and moderately complex issues/problems within assigned areas of responsibilities as they arise, which often requires interpretation of existing HR procedures and processes.

•Suggests ways to enhance work organization and effectiveness. Maintains and updates HR records management system in accordance with the Bank’s requirements.

•Serves as an information resource on status of HR related information and draft a variety of standard HR-related correspondence.

•Provides quality research and statistics on workforce planning and specific HR Dashboards with support of relevant units. Able to conduct research, analysis, and special studies which support unit’s needs and provide appropriate resolutions.

•Provides logistics support and contribute to the content development of country office learning events as requested.

•Coordinator for Medical Benefits Plan (MBP) and Leave and Attendance Recording System (LARS).

•Attends meetings, draft minutes and ensure timely clearance and distribution.

Selection Criteria

•Bachelor’s degree in any Behavioral Sciences, Social Sciences disciplines or other relevant fields.

•At least 5 years of relevant experience.

•Excellent written and verbal communication skills in English.

•Ability and experience with data collection, research, analysis, and interpretation.

•Demonstrates high ethical standards, handle confidential information and issues with tact and sound judgment.

•Able to undertake diverse and complex assignments with minimal direction and resolve challenging demands.

•Good organizational skills, and the ability to work capably in a fast-paced environment, handling multiple tasks within tight deadlines.

•Excellent interpersonal skills and commitment to work in a dynamic, multi-cultural environment.

•Actively seeks knowledge needed to complete assignments and shares knowledge with others, communicating and presenting information in a clear and organized manner.

•Participates in development, evaluation and system testing activities connected with new business transactions/processes.

•Ability to articulate issues and recommend solutions to aid HRBP in supporting client management’s decision-making.

•Exhibits excellent knowledge in HR Systems and Microsoft Office applications and proficiency in technology and systems relevant to functional area. (e.g., PeopleSoft, Recruitment tools, Tableau, SAP, MS Office Tools)

•Solid understanding of general office procedures, machines and equipment.

•Desirable to have good Indonesian communication skills

•Willingness to take up additional ad-hoc responsibilities other than duties directly related to this position whenever needed.
