The Vice Presidency for Corporate Support integrates the following departments under one umbrella to enable the execution of IFC’s strategy and effectively address operational needs: Budget and Business Administration, Human Resources, Communication and Outreach, Strategy and Operations Management, Information and Technology, and Strategic Initiatives, Analytics, and Knowledge Management.

The Strategic Initiatives, Analytics, and Knowledge Management (CSI) Department exists to (1) drive innovation and continuous improvement within the Corporate Support VPU and (2) together with all other functions within the VPU and in partnership with other relevant units across IFC, support the Management Team and the rest of our senior leadership in designing and implementing the institutional change needed to achieve IFC’s strategic objectives and growth ambitions.

The CSI Department is seeking an Extended Term Temporary to support the Knowledge Management and Learning (KML) team.

Duties and Accountabilities

•  Provide administrative and logistical support to the team in day-to-day operations, e.g. scheduling meetings/rooms, setting agendas, and drafting and managing KML communications.
•  Contribute to team planning and monitor tasks, project plans, and team calendar. 
•  Support the management of events and courses, including all logistics (venues, supplies, catering, technical support, dry runs, etc.), participant nominations and tracking, communications with participants and presenters, and supporting materials. 
•  Support the live production of events and courses, including managing technical aspects (audiovisuals, polls, quizzes, breakouts, etc.), troubleshooting technical aspects, and monitoring participant engagement.
•  Prepare, review, and format KML materials (reports, presentations, case studies, handouts, group exercises, etc.), ensuring consistency and quality.
•  Manage e-document libraries and folders across OneDrive, SharePoint, and MS Teams, ensuring accessibility and relevance of information.
•  Administer surveys and evaluations for events and courses and prepare basic reports and analyses.
•  Support the administration of courses, participant registration, and learning paths in the Open Learning Campus (OLC). 
•  Maintain SharePoint intranet sites, ensuring content is relevant and up to date with timely inputs from the team.
•  Manage vendors and purchasing, including proposals, contracts, and payments in compliance with corporate procedures.
•  Undertake ad-hoc assignments as assigned and provide backup support to other assistants.

Selection Criteria

•  Bachelor’s degree and at least eight years of relevant experience in knowledge and learning program coordination and project/event/course management, preferably in global/multinational corporate, consulting, or financial institution environments.
•  Excellent organizational and administrative skills with demonstrated ability to prioritize, schedule, plan and coordinate work, activities, and events.
•  Strong problem-solving skills, ability to work competently with minimal supervision and strong attention to detail and quality. 
•  Ability to manage multiple tasks and complete tasks within tight deadlines.
•  Advanced knowledge and experience working with Microsoft Office applications (Excel, PowerPoint, Word, etc.)
•  Demonstrated ability to work with information systems and reporting tools, with the ability and willingness to learn new technologies.
•  Strong written and oral communication skills in English.
•  Strong interpersonal, collaboration, and teamwork skills. 
•  Demonstrated success in supporting and inspiring a positive, energetic culture of innovation. 
•  Enthusiastic, self-motivated team player with a keen interest in knowledge management and learning, creating efficient processes, and seamless user experience.
